Conference Registration Steps

GIN REGISTRATION IS OPEN

Fee for both students and advisors is $250 USD.

Please follow all 8 steps to successfully complete the GIN Registration:

GIN REGISTRATION CLOSES FEBRUARY 29th

STEP 1: REGISTER YOUR GIN TEAMS (CLICK HERE)

Each school may send up to four teams of students, from grades 7-12, and each team may be comprised of 2 to 6 students.  At least TWO advisors must accompany each school’s students regardless of the number of student participants.

IMPORTANT CHANGE IN REGISTRATION PROCESS & PRE-CONFERENCE PREPARATION: To finalize the editable and resumable GIN registration each student team must: 

  1. Film your GIN Team Student Workshop Presentation

    – Film your team’s Workshop Presentation without the activity (about 20 minutes)
    – Upload it to YouTube with a public link
    – Submit the YouTube link within the registration form
  2. Craft an impact statement for your presentation within the registration form

  3. Design and include a brief lesson plan and supporting media that will be used in your workshop (Prezi/Keynote/Slideshow, etc.) within the registration form.

STEP 2: COLOMBIAN VISAS, AUTHORIZATION, AND INVITE LETTER

Most countries in the Americas are not required to present a VISA upon entering Colombia. Please check the official VISA list HERE based on the nationality of your students.

Minors must have parent permission to leave their own country and enter into Colombia. Some requirements may include an apostilled parent permission from a notary, copy of birth certificate, proof of return flight, travel dates, hotel info, event info, and advisor information. Please check with local immigration authorities about specific requirements. Please see link of sample Parent Authorization Letter  CLICK HERE.

Each school should carry a copy of the conference invitation in order to facilitate entry into Colombia. Download and edit this generic invitation CLICK HERE.

STEP 3: IMMUNIZATIONS

No specific vaccinations, including Yellow Fever, are required to enter Colombia, however, your home country may require proof of vaccination in order to re-enter your country. Please check the CDC WEBSITE for specific information about your country.

STEP 4: RESERVE YOUR HOTEL ROOMS

Two hotels have offered group rates to accommodate conference participants, Estelar Milla de Oro and Estelar Blue. Check the hotel tabs on the drop down menu to view hotel options and prices, which are quoted in Colombian pesos.

Any school can choose to reserve at either hotel based on preference, however, it is recommended to reserve at Estelar Milla de Oro due to its larger capacity and amenities. This hotel will accept reservations until there is no more availability, at which point, Estelar Blue will be the alternative. We cannot guarantee availability at either hotel, so please reserve promptly.

Both hotels are located within walking distance of each other.

STEP 5: TRANSPORTATION 

Each school must organize its own transportation from the airport to the hotel and vice versa. Below you will find the companies that provide these services. Please contact them directly to book your transportation.

Note: All prices are in Colombian Pesos. Las Buseticas accommodates smaller groups (1-40 passengers). Transportadoras Asia accommodates groups of 40.

STEP 6: EXCURSIONS IN MEDELLIN

STEP 7: PAYMENT AND INVOICE 

The $250 USD registration fee includes transfers between hotel and the conference events each day, all food expenses during the conference, and participation in all conference events.  It does NOT include airport transfers to hotels and vice versa, flights, hotel costs, or excursions.

The business manager at each school will be invoiced and provided instructions for payments by The Columbus School. Registration closes February 29, 2016.

LOCAL MEDELLIN SCHOOLS – a discount registration price is available, as you will provide your own transportation to and from the conference. Please inquire at gin2016@columbus.edu.co for more info.

We will email an invoice to your school’s advisor and business manager (as soon as we receive your complete submission). This invoice will also be accompanied with payment instructions.

Please note, there will be no refunds will be given after February 29th for registration cancellations.

STEP 8: OFFSET THE CARBON FOOTPRINT OF YOUR FLIGHT

One of the biggest contributors to a person’s annual carbon footprint, and the carbon footprint of the Medellin GIN Conference, is air travel.

We ask that all student teams traveling to Medellin by plane,  take responsibility for offsetting their own air travel. We will collect data on which schools are actively working to offset their air travel at conference registration in order to accurately calculate the carbon footprint of the conference. Students teams can design their own plan to offset their air travel, or use this helpful OFFSET TOOL.
